Booking Terms and Conditions

These Booking Terms and Conditions apply to every booking made with Kaapstad Trails Pty Ltd (“we”, “us”, “our”).

By making a booking, the lead guest confirms that they have authority to accept these terms on behalf of all participants included in that booking.

1. Our services
We provide guided outdoor nature and hiking experiences in and around Cape Town. Depending on the specific route and operational requirements, an experience may include an experienced guide and additional safety measures such as security support and/or trained dogs. Transport, meals, drinks, personal insurance and personal equipment are excluded unless expressly stated in writing.

2. Safety-led operation
Our experiences are designed with safety at the core. However, hiking and outdoor activities involve inherent risk, and risk cannot be fully eliminated. For safety, weather, wildfire, park access, crime or security concerns, operational reasons, guide availability, or animal-welfare reasons, we may change the route, adjust the start time, substitute a guide, run without dogs, shorten the activity, postpone the activity, or cancel it.

3. Participation requirements
Each participant must:

  • arrive on time,

  • wear suitable clothing and footwear,

  • follow all instructions from guides and safety personnel,

  • be physically able to complete the booked experience.

We may refuse or remove any participant whose conduct, condition, equipment, lateness, medical state or intoxication creates a safety concern for themselves, staff, dogs or other guests.

4. Bookings and payment
A booking is only confirmed once we issue written confirmation and the required payment has been received, unless we expressly confirm another arrangement in writing. Prices are as stated on the website, quote, booking page, or written confirmation.

5. Guest cancellation
If you cancel:

  • more than 72 hours before the scheduled start time: full refund or one free rebooking;

  • between 24 and 72 hours before the scheduled start time: 50% refund or booking credit;

  • less than 24 hours before the scheduled start time: no refund;

  • no-show: no refund.

We may make exceptions in genuine emergencies, but we are not obliged to do so.

6. Operator cancellation
If we cancel because of weather, wildfire, trail closure, safety concerns, guide unavailability, minimum numbers or similar operational reasons, we may offer a rebooking, booking credit or refund of the amount paid for that experience. We are not responsible for incidental or consequential costs such as flights, accommodation, taxis, lost time or other third-party expenses.

7. Guest conduct
Guests must behave respectfully toward guides, safety personnel, dogs, other guests and the environment. Unsafe, aggressive, disruptive or intoxicated behaviour may result in refusal or removal from the activity without refund.

8. Photography and communications
Operational communication may take place by email, phone and/or WhatsApp. Any marketing use of guest images is handled separately under our photo/video consent process.

9. Liability and risk
Participation in hiking and outdoor nature experiences is voluntary and subject to inherent risks. Specific risk acceptance and waiver wording is presented separately during the booking process and forms part of the booking.

10. Governing law
These Booking Terms and Conditions are governed by the laws of South Africa.
